Executive Administrator

2026-03-26     University of Providence     Great Falls,MT
Description:

Are you an experienced Senior Executive Administrator ready to operate at the highest levels of institutional leadership? Our client, The University of Providence, a mission-driven institution in Great Falls, Montana, is seeking an executive professional to serve as a trusted partner to the President, Provost, and executive leadership team. This is a highimpact, highvisibility role with a frontrow seat to strategy, governance, and executive decisionmaking, serving as a central point of alignment for leadership priorities and institutional initiatives across the President's Office and Academic Affairs. This role goes beyond traditional administrative support—you will function as a key operational and strategic partner in the President's Office. This position you will provide comprehensive administrative, operational, and governance support to the President and Provost by managing executive calendars, communications, documentation, and briefing materials; serving as a liaison between leadership and campus departments; and coordinating strategic initiatives across the institution. You will support board and committee meetings through preparation of materials, recordkeeping, and compliance with governance requirements; assist with budget oversight, including expense reconciliation, credit card reviews, purchase order processing, and monitoring expenditures tied to presidential initiatives; and play an active role in planning executive-level events, campus visits, and space reservations while maintaining a high level of professionalism, attention to detail, and service excellence. The successful candidate will bring a bachelor's degree in business administration, management, communications, public administration, or a related field (master's preferred) along with 7–10 years of highlevel executive or administrative experience, ideally supporting senior leadership in a higher education or similarly complex environment. This role requires sound judgment, discretion, and the ability to operate with a high degree of autonomy in a fast-moving executive environment. Experience managing confidential information, coordinating executive operations, and supporting governance or board functions is strongly preferred. The ideal candidate will be highly organized, detailoriented, and proactive, with strong written and verbal communication skills. Proficiency in Microsoft Office is required, with the ability to prepare professional documents, presentations, and reports. The ability to manage multiple priorities, work independently, and collaborate effectively across departments is essential. If you are looking to join a leadership team where your expertise will directly shape institutional direction and student success, the University of Providence offers a compelling opportunity.
